Booking Your Room

We are so excited to be able to share our upcoming Wedding with you at Hotel Xcaret Arte (Adults-Only, 16+) in gorgeous Playa del Carmen, Mexico! Your presence at our wedding means the world to us.


The awesome Cheryl & Shea Bailey of Yellow Umbrella Events, a destination wedding event company, are helping us (and you) with all the hotel booking details.

Before you head to the Reservation Form at the bottom of this page, please go through the information below - we have distilled it down to what is necessary to know, we promise!

If you would like to arrive earlier than Wednesday, May 10th or stay later than Sunday May 14th, please indicate this when you fill out the room reservation form. Yellow Umbrella Events will assist with confirming availability.

WAIT! It's super important you read this section if you are booking as part of the room block. We really want to see you at our wedding and fingers-crossed that all goes according to plan, but things happen. So please read this. Seriously. 💜

Cancellation Policy

  • If you cancel your reservation between before FEBRUARY 28TH 2023, you will be responsible for 50% of your room total. If you reduce the number of nights in your reservation, you will be responsible for 50% of the nights reduced. If you have travel insurance, you can file a claim to get a refund based on their terms.

  • If you cancel your reservation OR reduce the number of nights in your reservation ON OR AFTER MARCH 1ST 2023, you are responsible for 100% of your room total. If you have travel insurance, you can file a claim to get a refund based on their terms.

  • The resort will not allow the following modifications / changes to your reservation ON OR AFTER MARCH 1ST, 2023:

    • Downgrading a room category​

    • Decreasing the number of nights in your reservation

    • Removing a guest from your reservation (reducing the occupancy level in your room)

  • The resort will not allow any changes (including name changes) to your reservation AFTER APRIL 26TH, 2023.

  • What can you do with your reservation BETWEEN MARCH 1ST and APRIL 26TH, 2023?

    • Upgrade your room category, if an upgraded room category is available.

    • Add extra nights, if additional nights are available.

    • Add an additional guest or make a name change.

  • The resort will not provide a credit or voucher for future travel if you do not travel on the dates selected for this reservation.​

  • Yellow Umbrella Events is not an agent of the Hotel and has no control over refund policies and other rules mandated by the Hotel. 

  • If you do not purchase travel insurance and have to cancel your reservation you may still have to pay a partial penalty up to the full amount of your reservation plus the $100 per person cancellation fee.

  • If you purchased travel insurance and have to cancel you will be refunded the amount according to the travel insurance guidelines minus the cost of the non-refundable insurance, but you are still responsible for the $100 per person cancellation fee.

  • Once a reservation is booked there is a $100 per person cancellation fee with no regard to the reason for the cancellation. This cancellation fee also applies to all cancellations that result in a re-booking.

Payment Details

  • There is a 3-night minimum for the room block, but you can choose to arrive early or stay later. Please indicate your desired dates on the reservation form.

  • 50% of your room total is required to reserve your room.

  • Full payment of your trip is due by Wednesday, MARCH 1ST 2023. The resort reserves the right to cancel the reservation if payment is not made by this date.

  • Additional payments towards your balance can be made at any time (monthly) by contacting Shea / Mia before the final payment is due. 

Booking Your Flight

  • You will fly to Cancun International Airport (CUN). This is where the transportation company will pick you up. 

  • You are responsible for booking your flights but our travel coordinators will need your flight info by Wednesday, April 28th 2023 to ensure your transportation. You can send that to Yellow Umbrella Events by filling out this form.

Last Thing to Note:

If you stay at a different hotel/resort other than Hotel Xcaret Arte, you will be considered a "Non-Guest", which has implications on both the wedding activities you can participate in, and potential fees. Please discuss this with Lauren and Trevor prior to booking to understand the options and details.

Ready to Book?

The link below takes you to a reservation form. Once Yellow Umbrella Events receives your information, they will make your reservation. When your card is processed, they will send you an email with your invoice and booking details. Note that you will not receive a confirmation until Yellow Umbrella Events has processed your request.

FAQs

Can I use a different credit card to make additional payments?

Yes. All you need to do is fill out the form on this page: https://www.yellowumbrellaevents.com/credit-card/ . As soon as we receive the information we’ll make the payment and email you the receipt.

Can I make additional payments before the final payment date?

Yes, you can make additional payments at any time. Just send us an email telling us how much you want to pay and if we should use the credit card I have on file for you. If you want to use a different credit card you can send it to us by filling out the form on this page: https://www.yellowumbrellaevents.com/credit-card/.

I filled out the reservation form but I didn’t get an immediate confirmation.

When you fill out the reservation form it does not automatically make your reservation or charge your credit card. The information is sent to us so we can review it first. If we have any questions we will reach out to you for verification. As long as everything looks good we will make the reservation and email you a receipt showing the payment and another email with information about your reservation. FYI, If you fill out the form after business hours (5:00 pm CST) or over the weekend it may be the next day before you receive a confirmation.

The other person in my room can’t make it. Can I switch them with someone else?

Yes. Just send us an email with the name of the guest to be removed along with the name (as it appears on their passport) of the new guest, their birthday, and email address. Once we have this information we’ll make the adjustment. If you are just switching guests the $100 cancellation fee is not charged to the person being removed from the reservation.

Will everyone in our group have rooms next to each other?

No, not necessarily. This will depend on a few factors like the type of room category each person books and how full the resort is at the time of the event.

Can my roommate(s) pay for their portion of the room on a separate card?

Yes, they can pay using a different credit card. However, when you fill out the reservation form it will only allow you to add 1 credit card. If they want to use their own credit card, all you need to do is add a note in the “Additional Information” section at the bottom of the reservation form and tell us who will be using another credit card. You can then submit their credit card info to us by filling out the form on this page: https://www.yellowumbrellaevents.com/credit-card/.

Can I set up a payment schedule?
 

Yes. Just email us with how much you want to pay, what credit card to use, and on what dates you want me to make the payments.

Can I add someone else to my room after I’ve made my reservation?

Yes, you can always add a person to your room after your reservation has been made as long as it doesn’t go above the room occupancy limit. If you’re waiting to make a reservation because you’re not sure if someone will be with you in the room, we suggest you go ahead and secure your reservation now and then add them later.

I can’t make it to the wedding and need to cancel my reservation. What do I do now?

First, send us an email (we have to have it in writing) letting us know you need to cancel your reservation. We will then email you a link so you can make the $100 per person cancellation fee payment. Once this has been paid we will request the room cancellation. If you purchased the travel insurance and have to cancel you will be refunded the amount according to the travel insurance guidelines minus the cost of the insurance, but you are still responsible for the $100 per person cancellation fee. If you did not purchase the travel insurance, you may still be responsible for additional fees above and beyond the $100 per person cancellation fee which could possibly include the full amount of the room reservation.

Can I request a room next to someone else?
 

When you make your reservation you can send the request to us in the “Additional Information” section at the bottom of the reservation form and we will pass it along to the resort. They will do whatever they can to honor your request but it is not guaranteed.
